WRITING A FORMAL LETTER/E-MAIL OF ENQUIRY
TIPS
- If it is an e-mail YOU MUSTN´T write addresses. If is is a letter, write your address on the right top of the page.
- Leave a line and write the date under the address.
- Under the date, on the left top of the page, write the address of the person or company you are writing to.
- Leave a line and write your greeting.
- At the end of the letter write your name under your signature.
- Write three or four Paragraphs:
- In the first paragraph, give your reason for writing:
- I am writing to enquire about ...
... which was advertised in ...
- In the next paragraphs, write your main ideas or queries.
- In the final paragraph, say what you would like to happen next, (ex., I look forward to hearing from you.)
GREETINGS AND ENDINGS:
A)In a letter:
- If you know their name:
- Dear Mr / Mrs / Miss / Ms (+ surname) Greeting
- Yours sincerely, (+ your full name) Ending
- If you don´t know their name:
- Dear Sir / Madam, Greeting
- Yours faithfully, (+ your full name) Ending
B) In an E-mail:
- You can end formal e-mails with:
- Best wishes, (+your full name) or
- Best / Kind regards, (+your full name)
STYLE
- Use FORMAL language.
- Do not use contractions.
- Use Modal Verbs like WOULD / SHOULD / COULD /
- Use FORMAL structures, expressions and linkers and avoid colloquial language.
